Terms and conditions for booking workshops with Hyett Education Ltd.

1. Booking Confirmation
All workshop bookings are confirmed via email. A booking is not considered confirmed until you have received written confirmation from Hyett Education Ltd. Upon confirmation, these terms and conditions apply in full.
We will confirm the date, workshop type, number of sessions, year groups, and any special requirements agreed during the booking process. Any changes to the confirmed booking must be agreed in writing.
2. Pricing & Payment
Our starting price is £597 per day, excluding VAT. The final price will depend on the workshop type, number of sessions, and any additional requirements.
Payment terms are net 30 days from the date of invoice. Invoices are issued on or shortly after the workshop delivery date. We accept payment by BACS bank transfer. Purchase orders are accepted from schools and local authorities.
For funded workshops delivered through the RAF STEM or MoD Defence Nuclear Enterprise programmes, the funding body covers the workshop cost. Schools do not receive an invoice for funded workshops unless additional services have been agreed.
3. Cancellation Policy
We understand that school schedules can change. Our cancellation policy is as follows:
- Within 2 weeks of the workshop date: The full cost of the workshop is payable.
- Between 2 and 4 weeks before the workshop date: 50% of the workshop cost is payable.
- More than 4 weeks before the workshop date: No charge. The booking can be cancelled or rescheduled at no cost.
Hyett Education reserves the right to cancel or reschedule a workshop due to circumstances beyond our control (such as severe weather, illness, or vehicle breakdown). In such cases, we will offer an alternative date at no additional cost. No cancellation charges will apply.
4. School Responsibilities
To ensure the smooth delivery of our workshops, the school agrees to provide the following:
- Suitable space: A school hall, large classroom, or equivalent space with sufficient room for the workshop activities and equipment. The space should be available from 7:30am for setup.
- Staff presence: A member of school staff must remain present in the workshop space at all times in line with safeguarding requirements. Our instructors hold enhanced DBS checks but are not employed by the school.
- Parking access: A parking space close to the workshop venue for our equipment van. We carry large amounts of equipment and need reasonable access to the delivery space.
- Power supply: Access to mains power sockets for charging laptops, 3D printers, and other equipment.
- Timetable information: Confirmation of year groups, session times, class sizes, and any students with additional needs at least one week before the workshop date.
5. Hyett Education Responsibilities
Hyett Education Ltd agrees to provide the following for every workshop booking:
- All equipment: Robotics kits, drones, laptops, 3D printers, and all supporting materials required for the workshop. Schools do not need to provide any technology or resources.
- DBS-checked staff: All instructors hold enhanced DBS checks and carry their DBS certificates. DBS details are available on request prior to the workshop.
- Risk assessments: Full risk assessments for all workshop activities and equipment. Risk assessments are provided to the school in advance on request.
- Public liability insurance: Hyett Education holds public liability insurance covering all workshop delivery activities.
- Curriculum documentation: A curriculum mapping document showing how the workshop activities link to National Curriculum objectives.
- Setup and packdown: Our team arrives from 7:30am to set up and packs away all equipment at the end of the day. No setup or clearing is required from school staff.
6. Intellectual Property
All workshop content, materials, and resources are the intellectual property of Hyett Education Ltd. Schools may not reproduce, distribute, or use our materials outside of the delivered workshop without written permission.
7. Liability
Hyett Education Ltd holds public liability insurance for all workshop delivery. We take all reasonable steps to ensure the safety of students and staff during our workshops. However, the school retains duty of care for students at all times. Our instructors operate under the school’s behaviour and safeguarding policies while on site.
8. Photography & Marketing
Where agreed with the school, Hyett Education may take photographs during workshops for use in marketing materials, social media, and impact reports. We will always obtain written consent from the school before taking photographs and will comply with the school’s photography and consent policies. No photographs will be taken without prior agreement.
9. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
